The install problem nobody warns you about

Building the schedule is the easy part. Getting it in front of six people who work different days is where it falls apart.

Homebase is free for one location with up to 10 employees, then $30 per month per location, $70 on Plus and $120 on All in One. Payroll is a separate add on at $39 per month plus $6 per employee. It is genuinely complete, and the free tier is generous if you have a single site.

Sling is the most generous on paper: free up to 30 users. Time tracking is not included at that level, it starts at $2 per user per month on Premium. Team messaging is built in, which is useful.

Connecteam is free forever up to 10 users with every hub included, then billed per hub: $29 per month on Basic for the first 30 users, $49 on Advanced, $99 on Expert. Covering both scheduling and communication means paying for two hubs.

Notice what they have in common. Free is normal in this market, so free is not a reason to pick one, as the three way comparison shows in detail. The real difference is what each one asks of the people who are not you.

When an app is the right answer

Be honest about this. If you run several locations, need payroll in the same tool, or track labor cost against sales in real time, a full platform earns its keep. Homebase in particular does a lot for the money.

The link approach fits a different shop: one place, a handful of people, a schedule that changes weekly, and a manager who wants it done in two minutes on a phone between customers.

How to actually do it

  1. Build the week. Pick your usual opening hours and apply them to the days you are open, then adjust the two or three shifts that differ.
  2. Add your team by first name. An email address is optional, because nobody needs an account.
  3. Send the link. WhatsApp, text message, or paste it in whatever group chat your team already uses.
  4. Change what you need during the week. The link stays the same and always shows the current version.
  5. That is the whole workflow. If it takes longer than the coffee you are making while you do it, something is wrong with the tool, not with you.
