Free employee scheduling apps for small business: what free actually covers in 2026
In short
- What is the best free employee scheduling app for a small business?
- It depends on your headcount. Sling is free up to 30 users but without time tracking. Connecteam is free up to 10 users with every feature. Homebase is free for one location up to 10 employees. Squadra Planning is free up to 10 employees and requires no app or account for the team.
- Is Homebase really free?
- Yes for a single location with up to 10 employees, including basic scheduling and time tracking. Beyond that it is 30 dollars per month per location, and payroll is a separate add on at 39 dollars per month plus 6 dollars per employee. Figures from the Homebase pricing page, August 2026.
- How many users can I have on Sling for free?
- Up to 30 users. Time tracking is not part of the free plan and starts at 2 dollars per user per month on Premium. Figures from the Sling pricing page, August 2026.
The short answer
Free is normal in this market, so it is not a reason to choose. Sling gives you 30 users free but no time tracking. Connecteam gives 10 users with everything, then charges per hub. Homebase gives one location and 10 employees. Squadra gives 10 employees and asks nothing of your team, no app and no account. The question is not who is free, it is where each one stops.
All figures below were taken from each vendor's public pricing page in August 2026.
What each free plan actually includes
Sling. Free up to 30 users, which is the most generous headcount on the market. You get shift scheduling, time off requests, open shifts and messaging. Time tracking is not included: that starts at $2 per user per month on Premium, or $1.70 billed annually. Business at $4 per user adds a time clock terminal and reporting.
Connecteam. Free forever up to 10 users, and unusually the free tier is not crippled: all hubs are included. Past 10 users you pay per hub, starting at $29 per month for the first 30 users on Basic, $49 on Advanced, $99 on Expert. If you need scheduling and team communication, that is two hubs.
Homebase. Free for one location with up to 10 employees, including basic scheduling and basic time tracking. Beyond that it is $30 per month per location, $70 on Plus, $120 on All in One. Payroll is an add on at $39 per month plus $6 per employee.
Squadra Planning. Free up to 10 employees. The difference is not the price, it is that your team never installs anything: they open a link and see the week. Time tracking exists but is off by default, because most small shops want the schedule first.
The three questions that actually decide it
Forget feature lists. Three questions predict whether you will still be using the tool in six months.
1. What happens at employee number 11? This is the real cliff. Homebase jumps to $30 per month per location. Connecteam jumps to $29 per hub. Sling keeps you free until 30, then charges per person, so a 25 person team on Premium is $50 per month. Work out your own number before you commit, not after.
2. What are you asking of your team? Every tool here except one requires each employee to install an app and create an account. For a stable team of ten that is a one off annoyance. For a business with seasonal staff and turnover, it is a permanent tax on the manager, and the people who never finish signing up are the ones who miss shifts.
3. Do you need time tracking on day one? Be honest. On Sling it is a paid upgrade. On Homebase basic tracking is in the free tier. Many small businesses discover they wanted a clear, shared schedule and never used the clock at all.
When each one is the right answer
Pick Homebase if you want one platform for scheduling, hiring and payroll, and you run a single location. It is the most complete of the four and the free tier is genuinely useful. See the alternatives to Homebase.
Pick Sling if you have between 10 and 30 people, mainly need to schedule and message, and can live without time tracking. Nothing else gives you 30 users free.
Pick Connecteam if you need more than scheduling: training, checklists, forms for a deskless team. Under 10 users you get all of it for nothing.
Pick Squadra if your priority is that the schedule reaches everyone with no friction, this week, without asking six people to install an app.
The cost nobody puts on the pricing page
The real price of scheduling software is not the monthly line on your card. It is the twenty minutes a week spent chasing people who did not see the rota, and the shift someone missed because their signup never completed.
Whatever you pick, test that specific thing first: build one week, send it, and count how many people saw it without you having to follow up. That is exactly what sending a schedule without an app is about, and the head to head comparison puts numbers on the rest.
