Paid Leave and Absences in Retail: The Simple Method
Paid leave in brief
In France, each employee accrues 2.5 working days of paid leave per month worked, that is 30 working days (5 weeks) over a full year. The reference period generally runs from June 1 to May 31, unless a different agreement applies.
In a store, the difficulty is not the rule but the organization: taking leave without creating a gap in the schedule or overstaffing, while keeping a clear record of what has been taken.
The different types of absence
Not all absences are handled the same way:
- Paid leave: requested in advance, approved by the employer.
- Sickness: justified by a medical certificate, it suspends the contract.
- Public holidays: not worked or worked depending on the case and the agreement.
- Time off / rest: according to the working-time arrangement agreement.
The common thread: a well-managed absence should neither credit nor debit the hour bank. Leave placed on a non-working day, or a mishandled holiday, otherwise creates a false gap in hours.
The public holiday trap
Public holidays are a classic source of errors. A holiday falling on a day that is usually not worked is neutral. A worked holiday may entitle to a premium depending on the agreement. And a holiday not worked is paid without having to clock in. These subtleties join our 7 labor law scheduling rules.
The simple method: everything in one place
The mistake is to manage leave in a notebook, the schedule in Excel and the hours somewhere else. Absences end up not being reflected in the hour counter.
The method that works:
- Place the absence directly in the schedule, with its type (leave, sickness, holiday).
- Let the tool neutralize the impact on the hours.
- Keep a team view to see at a glance who is absent and avoid gaps.
This is exactly what a tool like Squadra Planning does: the absence is placed in one click, the counter stays accurate, and the team view shows the gaps before they become a problem.
Anticipating busy periods
Summer and end-of-year leave are predictable. Anticipate them with schedule templates and, if you have several points of sale, multi-store management that lets you move backup from one store to another.
In summary
Managing leave and absences well is above all about centralizing everything: placing each absence in the schedule, letting the tool neutralize the impact on the hours, and keeping a team view. You avoid gaps, oversights and distorted counters. To connect everything, see the complete guide to working time in retail.
